For Hosts

Getting Started

Email us at hello@capyvite.com with your event details.

Include:

  1. Event name (e.g., "Rooftop Pizza Night")
  2. Date and time
  3. Location
  4. Capacity (max attendees)

We'll set up your event page within 24 hours and send you:

  • Your public event link (capyvite.com/your-event)
  • Your admin dashboard link
  • Your 6-digit PIN

Free tier: 3 events/month, 30 attendees/event. Pro: $9/mo for 30 events, 100 attendees.

Your 6-digit PIN (code) unlocks your admin dashboard.

You'll receive it when your event is created. Keep it private - anyone with the PIN can manage your attendee list.

Lost your PIN? Email hello@capyvite.com from the same address you used to create the event.

Dashboard Guide

Go to your admin dashboard and enter your PIN.

Your admin URL: capyvite.com/admin/your-event

You'll see:

  • Confirmed Attendees - People with spots (green)
  • Waitlist - People waiting for a spot (amber)
  • Stats - Total attending vs capacity

Click the pencil icon next to any attendee name.

Use this to:

  • Fix typos
  • Add last names
  • Add emoji flags (e.g., "Maria 🇧🇷" or "Alex 🇬🇧")

Click the up arrow next to a waitlist person, or increase capacity.

Two ways:

  1. Manual promote: Click the up arrow icon on the waitlist row
  2. Increase capacity: Change the capacity number in Settings - the waitlist automatically fills the new spots (first come, first served)

The stats bar shows your event health at a glance.

  • X / Y attending - Confirmed attendees out of max capacity
  • Z waitlist - People waiting for a spot

Pro users also see analytics: fill rate, RSVPs over time, and more.

Event Settings

In your admin dashboard, scroll to Settings and change the Capacity number.

What happens:

  • Increase: Waitlist people automatically get spots (FIFO)
  • Decrease: Existing attendees keep their spots; new RSVPs go to waitlist

Free tier max: 30 attendees. Pro tier max: 100 attendees.

In your admin dashboard, scroll to "Event Details" and edit any field.

You can change:

  • Event name
  • Date and time
  • Location
  • URL slug (the custom part of your URL)

Changes appear immediately. Attendees who added to calendar will have old details.

Paste your webhook URL (automatic notification URL) in the Settings section.

A webhook sends a notification to other apps when someone RSVPs. Use it with:

  • Discord - Get RSVP alerts in a channel
  • Slack - Notify your team
  • Zapier/Make - Connect to 5,000+ apps

Webhook payload includes: attendee name, event name, position, and status.

Pro Features

Analytics appear automatically in your admin dashboard (Pro only).

You'll see:

  • Total RSVPs - All-time count
  • Fill rate - Percentage of capacity filled
  • RSVPs by day - Chart showing signup trends
  • Last 24h / 7 days - Recent activity

Upgrade to Pro ($9/mo) to unlock analytics.

Click "Export CSV" in your admin dashboard (Pro only).

This downloads a CSV file (spreadsheet file you can open in Excel or Google Sheets) with:

  • Attendee names
  • RSVP time
  • Status (attending or waitlist)
  • Position number

Upgrade to Pro ($9/mo) to unlock CSV export.

  4. Check Discord/Slack channel permissions allow bot posts
